Event Operations Assistant

Sports Backers is a nationally acclaimed 501(c)(3) charitable non-profit organization with a mission to inspire people to live actively. We achieve this mission by hosting events and facilitating programs that encourage people to get moving. Sports Backers is seeking a passionate and experienced Event Operations Assistant to assist with operational and logistical support of our events.

Position Overview

As an Event Operations Assistant at Sports Backers, you will play a crucial role in the planning, execution, and success of our events. This position will have a focus on event operations, vendor sales, community outreach, and coordination with outside agencies and partners.  As a member of the event set up team you will get to spend time both inside and outside of the office at our warehouse and event venues during set up days and event days.

This is a full-time, office-based position located in Richmond, Virginia with the necessity to be on-site at events along with the flexibility to work remotely at times. This role will include evening and weekend work as well as manual labor. The Event Operations Assistant role will report to the Director of Events, Meghan Keogh ([email protected]).

Key Areas of Responsibility:

  • Provide general event operations support, including on-site event set-up for Sports Backers events.
  • Manage contracted events as assigned including partnership management, logistics planning, management of staffing plans, and event day execution.
  • Assist with warehouse management including loading and unloading of trucks for events.
  • Manage maintenance schedules for Sports Backers equipment and vehicles.
  • Manage hotel blocks and bookings in support of our 3 major events, Allianz Partners Richmond Marathon, Ukrop’s Monument Avenue 10k and Dominion Energy Riverrock.
  • Manage vendor sales and logistics at Dominion Energy Riverrock, including all vendor communications.
  • Collaborate with internal teams, external partners, and city officials to secure necessary resources, and support.
  • Stay current on industry trends, best practices, and relevant regulations to inform event planning and management decisions.

Knowledge & Skill Requirements:

  • Bachelor’s degree in event management, hospitality management, sports administration, business administration, or related field preferred.
  • Experience in event planning and management, preferred but not required.
  • Strong project management skills, with the ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to build relationships and work effectively with diverse stakeholders.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • High degree of adaptability, with the ability to thrive in a dynamic environment, work independently and make decisions as well as lead a team to a common goal.
  • Capable of performing various manual labor tasks, including lifting 50 pounds regularly as part of event duties, including loading and unloading trucks.
  • Proficiency in Microsoft Office Suite.
  • Passion for sports, fitness, and outdoor recreation, with a commitment to promoting active lifestyles.

Youth Fitness Instructor

Sports Backers is a 501(c)(3) charitable non-profit organization with a mission to inspire people from all corners of our community to live actively. We are a contracted provider of youth fitness programs with NextUp RVA, a fellow non-profit that provides Richmond Public School students with access to coordinated, high-quality learning experiences beyond the classroom.

This school year, Sports Backers is leading youth fitness programs in three middle schools in the Richmond Public Schools district. Sports Backers is seeking an energetic, outgoing fitness instructor that can engage youth from underserved communities in age appropriate physical activity opportunities at River City Middle School.

The Youth Fitness Instructors will be responsible for:

  • Reporting to assigned site(s) on time, on all assigned program days (Mondays/Wednesdays 4:30pm – 5:30pm)
  • Creating and leading engaging, age appropriate fitness activities for approximately 15 students per class.
  • Preparing students to participate in a local 5k at the end of each session.
  • Supporting students and being present during the selected 5k at the end of each session.
  • Coordinating with Sports Backers and Next Up staff to make sure all program needs are met.
  • Implementing an incentive system for youth participation to encourage positive behavior, participation, and retention.
  • Maintaining provided equipment and ensuring any shared equipment is sanitized after use.
  • Ensuring Richmond Public Schools policies are abided by at all times.
  • Reporting hours to Sports Backers Controller twice per month for payroll purposes.
  • Reporting any incidents to Next Up and Sports Backers staff in a timely manner

The ideal candidate will possess the following skills:

  • Energetic, outgoing personality with the ability to quickly adjust to a variety of environments
  • Exceptional interpersonal skills, ability to easily interact with youth and school leaders.
  • Excellent planning skills, with attention to detail, use of creativity, and ability to effectively execute plans
  • Ability to lead fitness programs that are appropriate for all fitness levels, offering modifications as needed
  • Easily build rapport with youth participants and implement appropriate behavior management techniques when needed
  • Experience supporting others in training for distance races.

This position will require approximately 3 hours per week, which includes 2 sessions of instruction per week and the preparation time for each. The winter session will begin January 13th. The program and position will likely continue throughout the remainder of the school year, pending Next Up approval for future sessions. Preference will be given to candidates with experience in group fitness instruction, those that have experience working with youth, those who have running experience, and those who hold current CPR/First Aid Certification.
